Should I rent, lease or buy a Copier?

Copiers are an indispensable part of every day work and office live. They help with the duplication of documents of all kinds. Depending on the copier model and features, they are true all-rounders and make it possible to print, scan, fax and send e-mails as well as copie. High-priced copiers have an collation option and can bundle documents as well as staple and hole-punch them. Which device you choose, of course, depends on your requirements. Are you planning to buy a new copier that makes work in the office easier? And you have certain ideas about which functions your new device should have, but the price still discourages you from buying it? Smaller devices for home use or a medical practice are available for a few hundred GBP. Professional copiers can cost several thousand pounds. Continulesly new devices with new features come on the market. If you are thinking about purchasing a copier, you should consider whether to acually buy the device or if renting or leasing it would be the better alternative.

Purchasing a Copier

Especially in the upper price class, it pays off to think about copier rental or leasing. Copiers are long-lived assets and can be written off within seven years under tax law. When purchasing the copier, you take the full risk in terms of an eventual failure of the device. Multifunction copiers are generally dependable and durable. However, if it comes to repair, it can be very expensive. If you buy a copier, you have to buy paper and toner. The cost for supplies are not easily calculated in advance. When you rent or lease a copier supplies are included in the monthly installments, which are fixed and which amount you know exactly.

Leasing a Copier

When you lease a copier, you usually receive a new device. You also have to cover the costs for maintenance and servicing, but alternatively you could opt for a full service leasing package. You will sign a contract of use and in the end of the contract period the device can be returned or purchased by you for a specific price. The low acquisition cost is one big advantage. If you sign a new contract for a new device after the first contract is over, you will always be up to date with the latest technology. Another advantage of leasing is that you won't have to dispose of an old copier. Service and maintenance can be included through full-service copier leasing contracts. Every month you have to pay a fixed fee, but you know your exact expences in advance. In an full service contract the delivery of supplies can be included. With copier leasing you can use tax depreciation advantages and your liquidity is not compromised. Leasing is especially interesting when it comes to expensive devices. But leasing a copier can also have disadvantages. Total costs over the whole contract duration are higher than the purchase price of the copier. Any damage can reduce the resale value of the copier and to purchase the copier during the contract term is not possible. In the worst case, the contract may be terminate and you will be charge additional fees.

Renting a Copier

Rented photocopiers are used devices. You won't be responsible for maintenance and servicing. Many copier rental contracts include service and supplies. If you decide to rent a copier, you can choose between short-term, daily and long-term rental. As with copier leasing, copier rental also means that you don't have to pay a high purchase price for the device. Depending on the selection range, you can choose to rent an state-of-the-art copier. You will pay fixed fees and can plan ahead with your budget. If the device is no longer needed, you will have no disposal costs, nor will you have to pay for maintenance or repair of the copier. For an advertising campaign, a trade fair event or short-term failure of your own copier, if you only need a copier for a short time, the copier rental option is a good choise for you. Disadvantages are the set minimum copy volume and that the copier is not your property. Copier rental is certainly not a real long-term solution.
